Job Description:

Position Summary
The Administrative Assistant's purpose is to assist the Field Marketing department so they can operate more efficiently and effectively. Above average Powerpoint, Excel, Organizational skills are a must.

Essential Job Functions:
--- Process/track department invoices
--- New vendor set-up
--- Prep, post and track all agreement requests
--- Using Apttus & as well as Terms & Conditions short forms
--- Set-up department meetings
--- Organize all-team planning meetings - travel, food and logistics
--- Leadership meeting - travel, food & logistics
--- Field Marketing team calls - assist to host call, agenda roll-up, meeting room
--- Bi-weekly Leadership calls - host call, agenda roll-up, meeting room
--- Bi-weekly Music Marketing calls - host call, agenda roll-up, meeting room
--- Manage/Reconcile two department credit cards
--- Assist with corporate card management for the department's leadership
--- Book travel for retailtainment vendors & department leadership
--- Track contract invoicing schedules, deliverables and terms
--- Maintain department resource decks (e.g. Retailtainment offerings, etc.)
--- Compile summary decks (e.g. Recaps, WINS, annual marketing plans, etc.)
--- Recognize birthdays & holidays for staff
--- Provide guidance on company processes
--- Assist with new hire training
--- Work with HR for offer letters, new hire onboarding paperwork
--- Process business card orders
--- Department mailing & shipping, office supply ordering
--- POS Inventory Management
--- Additional duties as assigned

Experience and Skills
--- Previous administrative experience
--- Experience effectively working in a cross-functional team
--- Must have a strong sense of urgency
--- Must be detail oriented
--- Required a demonstrated ability to manage numerous time sensitive projects simultaneously
--- Must be a collaborative team player
--- Working knowledge in Microsoft Office (PowerPoint, Excel, Word), Microsoft Outlook, the internet and social media
--- A natural multi-tasker, having many balls in the air doesn't scare your - it excites you
--- Integrates fun and joy as a way of being and working, aka doesn't take themselves too seriously
